Seafarer Profiles
Seafarer and candidate profiles contain all the information you need to make a decision about whether you want to hire someone or not.
The difference between candidates and seafarers
The candidates page is a searchable recruitment database of seafarers who have a Martide profile that is set to public. When you hire a candidate, they will move to the Seafarers page.
The seafarers page is a database of people you have interacted with, i.e. they have applied for one of your jobs or worked for you before.
On both the seafarers and candidates pages, to get to a profile click the seafarer/candidate’s name either in the list view or the overview view:

Note: On this page we refer to seafarer profiles but this also applies to candidate profiles.
The first thing you’ll see in a profile is this:
Here you can:
- See an overview of the seafarer's personal details, last employment, expectations and any notes that have been made about them.
- Add the seafarer to an Assignment or a Recruitment by clicking Add to Assignment or Add to Recruitment.
- View or make notes about the seafarer by clicking Notes or View All under Notes. (Seafarers only, not candidates.)
- View and add a seafarer's forms by clicking Forms. (Seafarers only, not candidates.)
- Download their photo and contracts, add them to a Document Assembly template, send them a message, or edit their profile overview by clicking the 3 vertical dots.
- Scroll down to see different sections that include everything from work history to visas.
The profile is long so to make it easier to find the info you need, click a header in the menu on the left under Seafarers/Candidates to go to that section:
Sections can be edited by clicking the Add button at the bottom of a section or by clicking the pen icon in the top right corner of a section.
Sections in a seafarer's profile
Statuses: Master Status - the main status for the seafarer in relation to you, the employer. Client Status: if you have clients and the seafarer is applied to one of their jobs the client will show here. It will show if the seafarer is ex-crew. You can see the Lead Source - the manning agent, who created the profile, select a pseudo-Id and add them to a Seafarer Pool. See below for more info about Master and Client Statuses.
Work Summary: An overview of the seafarer's ranks, time in rank, vessel types, time on vessel type, engine types, time worked with that engine, operator (DOC), trading areas, nationalities sailed with and maximum crew complement sailed with.
Employment: dates of hire and termination, rank, vessel name, estimated left and arrived home dates, actual sign on and sign off dates, client, manning agent, type of employment (Assignment or Manual) and application status (i.e. interview or negotiation.) You can also add a seafarer to an Assignment and add manual employment. To find out more about adding someone to an Assignment or adding manual employment, see here.
Work Experience: current and previous work experience including rank, dates, vessel name and specs, and the management and manning agent. You can also add a position and a CV.
Education: school, country of education, education level, field of study, grade, and dates.
Contacts: the seafarer’s address(es), phone numbers and social media accounts.
Special Skills: add any standout skills the seafarer has.
Physical Specifications: height, weight, shoe and clothing sizes, blood type, and hair and eye color.
Emergency Contacts: emergency contact details.
Next of Kin: next of kin details.
Preferences: the seafarer's availability date and preferences for vessel type, DWT, engine, salary and contract length.
Languages: languages the seafarer speaks and their level of fluency.
Bank Account: details of the seafarer’s bank account(s).
Medical Examinations: type, country of issue, issue and expiry dates, and related Assignments. Upload copies of the certificates.
Vaccinations: type, document number, brand, country of issue, and issue and expiry dates. Upload copies of the certificates.
Visas: type (i.e. transit), number, country of issue, and issue and expiry dates. Upload copies of the visas.
Assessments: type of assessment (i.e. English test), test score, status (passed or failed) and related Assignment. Upload copies of the assessments.
Certificates: type, document number, country of issue, and issue and expiry dates. Upload copies of certificates.
Training: type, document number, country of issue, and issue and expiry dates. Upload copies of training certificates.
Licenses: type, document number, country of issue, and issue and expiry dates. Upload copies of licenses.
Travel: type, document number, country of issue, and issue and expiry dates. Upload copies of travel documents.
Endorsements: type, document number, country of issue, and issue and expiry dates. Upload copies of endorsements.
Custom Documents: type, document number, country of issue, and issue and expiry dates. Upload copies of documents. To learn more about Custom Documents, see here.
Employment Contracts: contracts the seafarer has completed including vessel, rank, dates, length and salary. Upload contracts and add a contract, a contract extension, and an addendum.
Payslips: vessel name, rank, dates of employment and Assignment. Upload copies of payslips.
Appraisals: type, date and Assignment. Upload copies of appraisals.
More about Master Status and Client Status
In the Status section at the top of a seafarer's profile there is Master Status and Client Status.
Master Status: this is the seafarer's relationship with the employer: Active, Applicant, Left, Medical, NFR, (Not For Rehire), Rejected, Retired or Unavailable. Set the status with the drop down menu.
Client Status: if you have clients who you hire crew for, if the seafarer has been applied to one of their vacancies, the client name will show here. Set the seafarer’s status as above.
Example: You hired a seafarer for a client vessel but they do not want to rehire them. Set the Client Status to NFR. But if they did like the seafarer, set the Client Status to Active.
BUT if the seafarer did something wrong and you never want to apply/hire them again, change the Master Status to NFR and that will automatically set all Client Statuses to the same. You can also add a reason why you are setting that seafarer to NFR. Read how to do that here.
